Attachments and clear email actions

Beginner to intermediate

Use Belgian standard in bijlage or shared in de bijlage to name an attachment, then request the action with Kunt u... plus infinitives. Keep binnen twee dagen for a response during that interval and distinguish receiving a file from opening or approving it. Use uw before a noun and u as the formal personal pronoun.

Make the purpose visible before the background

An email body is easier to act on when its first useful sentence names the task. Ik stuur u het ingevulde formulier immediately identifies the document and the action. A subject such as Ingevuld formulier voor de afspraak can help the recipient connect it with the relevant matter. Specific names are more useful than an unexplained dit when the conversation contains several forms, appointments, or versions. Choose one term for the same document and retain it throughout the message.

The opening does not need to contain every detail. Follow it with the information needed to use the document: what it concerns, whether anything remains incomplete, and what response you need. Belgian official guidance on accessible communication favors ordinary words, consistent terminology, and a logical sequence. These principles support an email that a reader can act on, but a grammatical sentence alone does not guarantee that an attachment is correct or that an application is complete. Check the actual document as well as the language that describes it.

Use accepted Belgian attachment wording

In bijlage vindt u het formulier is standard Dutch in Belgium. The shared alternative In de bijlage vindt u het formulier includes the article, while Ik stuur het formulier als bijlage names the attachment as the way the document is supplied. Do not treat the Belgian phrase without de as an error. A named reference such as in bijlage C also has a separate shared use: it identifies a particular appendix rather than merely announcing an email attachment.

The adjectives bijgevoegd, bijgaand, bijgesloten, and ingesloten can all occur in accepted document wording. An exercise should therefore not force a false choice between equivalent correct phrases. Choose a simple sentence that accurately names the file. If the message refers to two documents, identify both, for example het formulier en de planning. Mentioning an attachment is a claim about what accompanies the message. It is not evidence that the recipient has received it, can open it, or has approved its contents.

Choose an action verb and keep its grammar intact

Email tasks often use separable verbs. Ik voeg het formulier toe separates finite voeg from toe in a simple main clause. With a modal, Ik kan het formulier toevoegen keeps the infinitive together. The same principle helps with doorsturen and invullen: Ik stuur het bericht door, but Kunt u het formulier invullen? First decide whether you are reporting your own action or asking the recipient to act; then choose the subject and verb structure accordingly.

A request such as Kunt u het formulier ondertekenen en terugsturen? assigns two actions to the recipient. Do not silently turn it into a statement that both actions are already complete. If the document only needs to be read, asking for a signature changes the task. Precise verbs are especially useful when a message includes several attachments with different purposes. Name the object of each action when a pronoun could refer to more than one file. This makes the sentence longer for a useful reason: it removes uncertainty about what the reader should do.

Build the message

Turn a note about a form into a request that the recipient sign it and send it back.

  1. Choose recipient u with the request opening kunt u.
  2. Name het formulier before the two requested actions.
  3. Keep ondertekenen and terugsturen as infinitives governed by kunt.

Kunt u het formulier ondertekenen en terugsturen?

State a deadline without changing its boundary

Binnen twee dagen means within a two day period, before that period has elapsed. Over twee dagen places something at the point two days from now. They are not interchangeable when an action may happen earlier. Kunt u binnen twee dagen reageren? allows a response during that interval; it does not ask the person to wait for the endpoint. The difference matters when translating an English time phrase whose intended boundary is not yet clear.

A calendar date can reduce dependence on when a message is read. If the exact hour matters, state it explicitly rather than assuming that “Friday” supplies one. A learner can ask Op welke dag verwacht u het formulier? or Kunt u ook het tijdstip noemen? to resolve missing information. The language lesson does not create a binding deadline or define a service’s rules. It teaches you to preserve a stated interval, distinguish a request from an agreement, and seek a precise date or time when the message leaves that boundary open.

Refer to a promise without confusing finite and participle forms

Zoals beloofd, stuur ik u de planning means that the sending follows an earlier promise. In this shortened expression, beloofd is a participle and ends in d. Compare U belooft morgen te reageren, where belooft is the finite present form with u as subject. Both spellings exist, but they perform different grammatical jobs. Do not choose the final letter by how the word sounds, since final consonants can sound alike.

The phrase also makes a factual claim: something was promised. If there was no earlier commitment, a plain Ik stuur u de planning is more accurate. Formal expressions such as hierbij and hiermee can introduce an action performed through the message; hierbij does not require a physical attachment. Both bij deze and bij dezen are accepted fixed expressions. Their correctness does not make them necessary. Use a direct action sentence when it expresses the same purpose more clearly, rather than adding formal wording that distracts from the requested response.

Check receipt, readability, and approval separately

Ik heb uw bericht ontvangen confirms receipt. Ik kan de bijlage openen confirms that the attachment can be opened. Ik ga akkoord met de inhoud expresses agreement with its contents. These are three different claims. A reader who acknowledges an email has not necessarily approved the attached document. When asking for confirmation, specify which status you need rather than relying on a broad phrase that could be interpreted in several ways.

Kunt u bevestigen dat u het formulier hebt ontvangen? asks for confirmation of receipt. If you do not know whether it arrived, Kunt u zeggen of u het formulier hebt ontvangen? keeps that uncertainty explicit. Dutch allows more than one order within suitable final verb groups, including hebt ontvangen and ontvangen hebt here. The teaching point is the meaning of the embedded clause, not an invented ban on a valid order. Keep formal u distinct from possessive uw: uw bericht names the recipient’s message, while u hebt supplies a subject and verb.

Complete the reasoning

Ask whether the form has arrived when you do not know its receipt status.

  1. Use kunt u zeggen to request information.
  2. Choose of because receipt remains an open yes or no question.
  3. Put the embedded subject before the final perfect verb group.
Compare your reasoning

Kunt u zeggen of u het formulier hebt ontvangen?

Report missing files and finish with the next action

If an attachment is missing, identify the problem without claiming to know its cause: Ik zie geen bijlage bij uw bericht. If the file is present but cannot be opened, say Ik kan de bijlage niet openen instead. These messages describe different obstacles and may require different responses. A useful request is Kunt u het formulier opnieuw sturen? It asks for a new sending action without accusing the recipient or asserting that a technical fault has already been diagnosed.

Before sending, read the message from the recipient’s perspective. Which document is attached, what should happen to it, when is a response needed, and how can the reader contact you about a problem? A signature can provide a suitable name and contact route without repeating unnecessary personal information in the body. If no reply is needed, say that explicitly instead of leaving the reader to infer it. If a reply is needed, close with the particular action you are waiting for. The final sentence should make the exchange easier to continue, not merely sound formal.

Common mistakes

Keep agreement in the Belgian attachment phrase

Instead ofIn bijlage vinden u het formulier.

For this meaningIn bijlage vindt u het formulier.

The accepted regional phrase does not remove the need for singular verb agreement. In bijlage is accepted in Belgian standard Dutch and vindt agrees with u.

Preserve the response interval

Instead ofKunt u over twee dagen reageren?

For this meaningKunt u binnen twee dagen reageren?

Over places the response at the endpoint rather than throughout the interval. Binnen expresses the interval during which a response is requested.

Use possessive uw before bericht

Instead ofIk heb u bericht ontvangen.

For this meaningIk heb uw bericht ontvangen.

U is personal, not the possessive form required before this noun. Uw modifies the noun bericht.

From understanding to using

Make your own example.

Try these without answer choices. Say your answer aloud or write it below, then compare your reasoning with the model.

Your turn 1

Write an email body that names the attached form, asks the recipient to sign and return it, and requests a response within two days.

Compare with a model

In bijlage vindt u het formulier. Kunt u het formulier ondertekenen en terugsturen? Kunt u binnen twee dagen reageren?

The form is attached. Can you sign the form and send it back? Can you respond within two days?

The model uses an accepted Belgian attachment phrase, then separates the document actions from the response window. Repeating het formulier keeps the object clear. Binnen allows an earlier response during the interval; it does not require waiting until the endpoint. In an actual message, choose a realistic date or interval that accurately reflects the request and check the file is attached.

  • Name the form as the attachment.
  • Keep both requested actions as infinitives.
  • Use binnen for a response during the interval.

Your turn 2

You received an email with a form, but the file will not open. Acknowledge the message and ask for the form again.

Compare with a model

Ik heb uw bericht ontvangen, maar ik kan de bijlage niet openen. Kunt u het formulier opnieuw sturen?

I received your message, but I cannot open the attachment. Can you send the form again?

The model distinguishes successful message delivery from an unusable attachment. It does not claim that the file is absent or that its contents have been approved. The closing question names a concrete action. Uw belongs before bericht; u is the subject in the request. These small choices help preserve the actual problem and the person responsible for the next step.

  • Confirm receipt without claiming approval.
  • Describe inability to open the existing attachment.
  • Request another sending of the named form.
