English Passive Voice in Present and Past Messages

Build the passive with a form of be and a past participle: The printer was repaired. The thing that receives the action becomes the subject. You can add a by phrase to name the actor, the person who does the action. Match be to the subject and the tense. The passive does not change who did what.

Choose the information you want to start with

A technician repaired the printer begins with the technician. The printer was repaired begins with the printer and leaves the technician unnamed. The same event can be organized in different ways depending on what the conversation is about.

The passive is useful when the actor is unknown, obvious, or less relevant to the message. It is not automatically more polite or more accurate. If it matters who is responsible, name the actor or use an active sentence. Use the passive to organize information, not to hide a detail the reader needs.

When the passive leaves out the actor, there is still an actor. The window was repaired means that someone repaired it. The speaker just does not say who. If the listener asks who did it, answer with what you know. The passive does not show that the repair happened by itself or by accident.

Build be plus a past participle

For the simple present passive, choose am, is, or are and add the participle: The rooms are cleaned every morning. For the simple past, use was or were: The rooms were cleaned yesterday. The subject controls the form of be.

The participle stays the same when the subject changes: The room is cleaned versus The rooms are cleaned. Irregular participles must be learned: written, sent, built. After be, do not use the simple past wrote. Use the participle written.

Only be changes for a plural subject. The participle does not change. The invitations were sent uses were because invitations is plural, and sent stays the same. Do not choose was just because you imagine one act of sending. The form of be follows the subject, not the number of actions.

Keep the roles clear in active and passive sentences

In Noor invited Sam, Noor performs the action and Sam receives the invitation. In Sam was invited by Noor, Sam becomes the grammatical subject but does not become the inviter. Changing voice does not reverse the event.

Use an object pronoun after by: I was invited by her. In the subject position, use the subject form: She was invited. This is especially important when the object of the active sentence was me, him, her, or them. Check two things separately: who did the action, and which pronoun form fits the position.

An object pronoun changes form when it becomes the subject of a passive. Noor invited him becomes He was invited by Noor. Him cannot stay in the subject position. The invited person is the same person. Only the pronoun changes, from him to he.

Build the message

Rewrite Noor sent the invitation with the invitation as the subject.

  1. The invitation is the object of the active sentence, so it becomes the subject of the passive.
  2. Use the past singular was and the participle sent.
  3. Preserve Noor as the actor with by Noor.

The invitation was sent by Noor.

Make questions and negatives with be

Was the package delivered? moves was before the subject. The package was not delivered places not after was. Do not add did to this passive. Was already shows the past tense.

Compare the active question Did they deliver the package? It has a different subject, they, and it uses did. Both questions can ask about the same result. Do not mix the two patterns. The passive question uses was and the participle delivered.

A question word can come before the passive was: When was the package delivered? This question asks for the time. It assumes that the delivery happened. Was the package delivered? asks whether the delivery happened at all. So when changes what the question asks, even though both questions use the same passive verb.

The room is being painted describes an ongoing process. The room has been painted presents a completed result connected to now. Do not mix up being and been. Being makes a continuous passive, and been makes a perfect passive.

After a modal verb such as can or will, use the base form be: The form can be sent online and The room will be painted tomorrow. The main verb is still a past participle. This lesson focuses on short, practical messages. Learn the simple present and simple past passive first, and try the longer forms later.

The difference between is being repaired and has been repaired matters in a service message. The first describes work in progress. The second can announce that the work is finished. If the item is ready for pickup, say so directly. Has been repaired does not tell the reader the opening hours or where to pick the item up.

Check whether the verb can be passive

A passive needs a verb with an object. Someone opened the door can become The door was opened. But The package arrived has no object to move into the subject position, so The package was arrived does not work.

Not every sentence with be is a passive. The door is open uses the adjective open and describes a state. The door was opened at nine is a passive and reports an action. Some participles can also work as adjectives, so check the context. A word that ends in ed does not always show a passive.

When a verb cannot be passive, an active sentence is often the clearest choice. The package arrived is complete and useful. You do not need to change it into a passive like The package was delivered. The two verbs describe the event in different ways, even when they are about the same package.

Preserve dates and actors when you rewrite

If the active statement says that a local team built a bridge in 2010, the passive should preserve the relevant date and actor: The bridge was built by a local team in 2010. A good rewrite changes the order of the information, but it does not change the facts.

In the practice round, choose sentences that have the correct form and keep the meaning. Before you answer, find the thing that receives the action, the tense, and any actor that must stay. After the choices, describe a process in your home or workplace with two passives and one active sentence. Choosing active or passive yourself is better practice than just changing one sentence into another.

A description of a process can mix active and passive on purpose. We collect the forms. The forms are checked each afternoon names the people in the first step. Then it follows the forms through the next step. Repeating the words the forms connects the two sentences. Clear meaning is more important than using the same voice in every sentence.
